Job Description: 

 

We are currently looking for an Administrative Assistant to join our team at our offices in Thessaloniki.

 

As an Administrative Assistant, you provide essential administrative and light personal support to the Personal Assistant of the Chief Executive Director, ensuring the smooth and efficient operation of daily activities through effective schedule management, professional communication handling, and strong organizational support, while maintaining a high level of discretion, adaptability, and attention to detail.

 

Your role will encompass:  

  • Provide high-level administrative and executive support to senior management, including managing signature authorization on behalf of the Chief Executive Director
  • Manage calendars, appointments, scheduling, and priorities to ensure effective time management
  • Handle emails, phone calls, and professional correspondence with discretion and efficiency
  • Prepare, organize, maintain, and update documents, records, and reports, ensuring accuracy and confidentiality
  • Coordinate meetings, including agendas, logistics, minutes, and follow-up actions
  • Support personal and executive needs, including scheduling, reminders, travel arrangements, and reservations
  • Assist with event planning, internal/external meetings, and related logistics
  • Maintain organized digital and physical filing systems and track tasks, deadlines, and follow-ups
  • Anticipate needs, proactively resolve issues, and support special projects and ad hoc requests

 

What you bring to the role: 

  • Previous experience as an Administrative Assistant, Personal Assistant, or similar role
  • Strong organizational and time-management skills
  • Excellent written and verbal communication abilities
  • High level of professionalism and confidentiality
  • Ability to multitask and prioritize effectively
  • Proficiency with email, calendars, and basic office software
  • Dependable, flexible, and detail-oriented
